This Privacy Policy forms part of, and should be read together with, the ConvertHook Terms & Conditions.
Who we are
ConvertHook is an SEO for LLMs (Large Language Models) tool operated by ComKey Consulting Pty Ltd (ACN 683 079 567) trading as ConvertHook (referred to in this document as “we”, “our”, “us” or “ConvertHook”). Our website address is converthook.com and our service helps businesses analyse, monitor and optimise their website content for visibility within AI-generated answers from platforms such as ChatGPT, Google AI Overviews, Perplexity, Gemini, Claude and similar generative AI systems.
ConvertHook is made available in two ways:

directly to businesses that subscribe to ConvertHook (each a Whitelister); and
-
indirectly to end users (each a User), who typically access the Tool free of charge through a Whitelister’s website, widget, or branded interface, often as part of the Whitelister’s own lead generation, marketing, or client acquisition activities.
This Privacy Policy explains how we collect, use, store, disclose and protect personal information when you visit our website, create an account, or use the ConvertHook Tool (whether directly or via a Whitelister). It applies to users located in Australia and to users accessing ConvertHook from overseas.
Legislation and jurisdiction
ConvertHook is based in Australia and we manage personal information in accordance with the Privacy Act 1988 (Cth) (the Privacy Act), the Australian Privacy Principles (APPs) and any registered privacy codes that apply to us. These laws set out the framework for how Australian businesses must handle personal information.
We recognise that ConvertHook is used by clients and end users outside Australia. Where you access our service from another jurisdiction, additional privacy laws may apply to you, including (without limitation) the EU and UK General Data Protection Regulation (GDPR), the California Consumer Privacy Act (CCPA/CPRA) and other regional privacy laws. We aim to handle personal information in a way that is consistent with the core principles of these frameworks, however by using ConvertHook you acknowledge that your information will be processed in Australia and in any other country where our service providers operate, and that the privacy laws of those countries may differ from those in your own.
If you are located in the European Economic Area, the United Kingdom or another jurisdiction with specific data subject rights, you may have additional rights as outlined in the “Your rights” section below.
How ConvertHook is delivered (Whitelisters)
A Whitelister is a partner of ConvertHook that makes the Tool available to end users via its own website, widget, or branded interface, under a separate commercial arrangement with ConvertHook.
If you access the Tool via a Whitelister:

the Whitelister determines how the Tool is presented to you, including the branding, the features made available, any usage caps, and any follow-up communications;

information you submit through the Whitelister’s interface (including URLs, queries, contact details, and the reports generated for you) is shared with that Whitelister;
-
the Whitelister is an independent third party. It uses your information for its own purposes (which typically include sales, marketing, and lead-generation), and is responsible for that use under its own privacy policy and applicable law;
-
ConvertHook is not responsible for the Whitelister’s privacy practices, marketing practices, communications, products, or services; and
-
any complaint, opt-out, or privacy request relating to a Whitelister’s use of your information should be directed to that Whitelister directly. Where appropriate, we will refer Whitelister-related complaints we receive back to the Whitelister.
What is personal information?
Personal information is information or an opinion about an identified individual, or an individual who is reasonably identifiable. Examples of personal information we may collect include names, business names, email addresses, phone numbers, IP addresses, account credentials, and (for Whitelisters only) billing details.
We collect personal information for the primary purpose of providing the ConvertHook service, communicating with you, supporting Whitelister accounts (including processing payments where applicable), and marketing related products and services. We may also use your personal information for secondary purposes that are closely related to the primary purpose, in circumstances where you would reasonably expect such use or disclosure. You may unsubscribe from our marketing communications at any time by following the unsubscribe link in any email or by contacting us in writing.
When we collect personal information directly from you, we will, where appropriate and practicable, explain why we are collecting it and how we plan to use it.
We do not seek to collect sensitive information (as defined in the Privacy Act) through the Tool. You should not submit sensitive personal information (such as health information, financial account details, government identifiers, or other regulated personal data) into the Tool.
Information we collect
The personal and non-personal information we collect generally falls into the following categories. Some categories apply only to Whitelisters (our paying B2B subscribers); others apply to end users who reach the Tool via a Whitelister.
Whitelister account and contact information
When a business registers as a Whitelister, requests a demo, subscribes to our newsletter, or contacts us, we may collect the relevant individual’s name, business name, role, email address, phone number, country, and password (stored in encrypted form).
End user contact information
When you use the Tool as an end user via a Whitelister’s interface, we typically collect only the information needed to deliver your report and (where applicable) to verify it, such as your email address, the URL or domain you submit, and the search query or other inputs you provide. The Whitelister may collect additional information from you separately under its own arrangements.
Billing and payment information (Whitelisters only)
If a Whitelister purchases a paid subscription, we collect billing details such as the billing address, tax identifiers, and payment method information. Payment card details are processed by our third party payment processors and we do not store full card numbers on our own systems. We do not collect billing or payment information from end users, who access the Tool free of charge.
Website and content data you submit
ConvertHook is designed to analyse websites and content for LLM visibility. When you use the service you may provide us with website URLs, page content, brand names, competitor names, target keywords, prompts and other inputs. Some of this information may include personal information about you, your team or third parties whose content you analyse. The Tool only analyses publicly accessible webpages.
AI visibility and analytics data
As part of providing the service, we generate and store data about how brands, content or websites appear in responses from third party LLMs and AI search engines. This may include prompts run on your behalf, citations, brand mentions, sentiment indicators, ranking positions and historical trend data.
Usage and technical information
When you visit our website or use the Tool, we automatically collect information such as your IP address, device type, browser type and version, operating system, referring URL, pages viewed, features used, the date and time of access and approximate location derived from your IP address. We use cookies and similar technologies to identify users, remember preferences and improve your experience. This information helps us understand how ConvertHook is used and how to improve it.
Communications
If you contact our support team or correspond with us, we may keep a record of that correspondence and any information you provide.
Personal information may be collected:

Directly from you through our website forms, account sign-up, email, phone calls, video calls or in-platform interactions, including via a Whitelister’s branded interface;

Automatically through cookies, analytics tools and server logs when you use our website or platform;

From third parties acting on your behalf, such as colleagues or agencies who set up an account for you;

From Whitelisters, where they pass on information about you in connection with your use of the Tool through their interface; and
-
From third party data sources and AI platforms that we query as part of providing the service.
There may be limited cases where personal information about you is collected indirectly because it is unreasonable or impractical to collect it from you directly. In such cases, we will usually advise you that this has occurred either in advance or shortly afterwards.
How we use personal information
We will generally only use or disclose personal information for the purposes for which it was collected, including to:

provide, operate, maintain and improve the ConvertHook service;

create and manage Whitelister accounts and authenticate Whitelister account holders when they log in;

run AI visibility checks, generate reports and provide recommendations;

share end user submissions, contact details, and generated reports with the Whitelister through whose interface the end user accessed the Tool, so the Whitelister can deliver the report and follow up with the end user;

process payments, issue invoices, and manage subscriptions for Whitelisters;

where payments are processed through our payment infrastructure, share transaction data (including your name, billing details, and purchase information) with our payment processor and its affiliates, including any entity acting as merchant of record for those transactions, so that they may facilitate your transaction, calculate and remit applicable taxes (including GST where applicable), manage disputes, and comply with their legal obligations. Those entities may independently action data deletion requests you make directly to them and will notify us of any such requests;

respond to your enquiries, provide customer support and send service related notifications, including verification emails and report links;

send you marketing communications, newsletters, product updates and promotional offers from ConvertHook (where you have not opted out). Marketing from a Whitelister is sent by the Whitelister and governed by the Whitelister’s own privacy policy, not this one;

monitor and analyse usage trends, troubleshoot technical issues and improve the security and performance of our platform;

comply with our legal obligations, enforce our Terms and Conditions and protect our rights and the rights of our users; and
-
carry out general business operations.
We may also use de-identified or aggregated data (which does not identify any individual) for research, benchmarking, model improvement and product development purposes.
Direct marketing
Where we send you marketing communications, we do so in accordance with APP 7 of the Privacy Act and the Spam Act 2003 (Cth). You can opt out of receiving marketing communications from ConvertHook at any time by using the unsubscribe link in any marketing email or by contacting us using the details at the end of this Policy. Opting out of ConvertHook marketing does not opt you out of marketing from any Whitelister — to do that, you must contact the Whitelister directly and use any opt-out facility they provide.
Disclosure of personal information
We may disclose personal information to:

our employees and contractors who need access to perform their roles;

Whitelisters — where you access the Tool via a Whitelister’s branded interface, your submissions, contact details and generated reports are shared with that Whitelister so they can deliver the report and follow up with you (including for sales, marketing, and lead-generation purposes), governed by the Whitelister’s own privacy policy;

third party service providers who help us deliver ConvertHook, including hosting providers, cloud infrastructure providers, payment processors, analytics providers, email and CRM platforms, customer support tools and security providers;
-
our payment processor and its affiliates, including Sold through Link LLC (trading as Link), a Stripe Affiliate that may act as merchant of record for transactions processed through our payment infrastructure. Link is a US-based entity that independently processes, uses and may delete customer Personal Data in connection with transaction processing, tax remittance (including GST and VAT where applicable), dispute management and compliance with applicable law. Link’s data handling is governed by its own privacy policy and terms of service, which are separate from and independent of this Privacy Policy;

third party AI and LLM platforms that we query on your behalf to generate AI visibility data (note that prompts and inputs sent to these platforms are subject to their own privacy and data handling practices);

related entities and affiliates of ComKey Consulting Pty Ltd;

professional advisers such as lawyers, accountants and auditors;

government agencies, regulators or law enforcement bodies where required or permitted by law; and
-
a purchaser or potential purchaser in the event of a sale, merger or restructure of our business.
Some of the third parties we use are located outside Australia, including in the United States, the European Union, the United Kingdom and other countries. By providing your personal information to us and using ConvertHook, you consent to your personal information being disclosed to these overseas recipients. You acknowledge that, by giving this consent, Australian Privacy Principle 8.1 will not apply to such disclosure and we will not be required to take steps to ensure that the overseas recipient complies with the APPs in relation to your personal information. We will, however, take reasonable steps to choose reputable service providers that have appropriate security and data handling practices in place.
In particular, payments processed through our payment infrastructure may involve Sold through Link LLC (trading as Link), a US-based Stripe Affiliate, which processes transaction-related Personal Data in the United States. By transacting through ConvertHook, you consent to your transaction data being processed in the United States by Link in accordance with its own privacy policy and terms of service.
There may also be circumstances in which the law permits or requires us to disclose or use your personal information for purposes not specifically discussed in this Privacy Policy.
Cookies and tracking technologies
We use cookies and similar tracking technologies on our website and within the ConvertHook Tool to keep users logged in, remember preferences, measure usage, personalise content and support marketing. You can control or disable cookies through your browser settings, but please note that some parts of the service may not function properly if cookies are disabled.
We may also use third party analytics tools (such as Google Analytics) and advertising platforms that set their own cookies. Where you access the Tool via a Whitelister’s interface, the Whitelister may also set its own cookies and tracking technologies. These third parties have their own privacy policies which we encourage you to review.
Embedded content and links to other websites
Our website and the Tool may contain embedded content (such as videos, images, articles or widgets) and links to third party websites and services. Embedded content from other websites behaves in the same way as if you had visited those websites directly. These third parties may collect data about you, use cookies, embed additional tracking and monitor your interaction with that content.
We are not responsible for the privacy practices or content of any linked or embedded third party websites and we encourage you to review their privacy policies before providing any personal information.
Storage and security
We store personal information in a combination of our own systems and reputable third party providers, which may include cloud hosting, database, CRM, payment processing, and email infrastructure providers. These include providers such as SiteGround for hosting and Stripe and its affiliates for payment processing. Where payments are processed through Stripe Managed Payments, transaction data is also handled by Sold through Link LLC (trading as Link), a US-based Stripe Affiliate acting as merchant of record, whose own privacy practices govern its handling of that data.
We take reasonable steps to protect personal information from loss, misuse, unauthorised access, modification, disclosure or destruction. These steps include access controls, encryption in transit, secure password storage, regular backups and restricting access to authorised personnel only. However, no system connected to the internet can ever be guaranteed to be completely secure, and you provide your personal information to us at your own risk.
If you become aware of any security incident or suspected breach involving your account or your information, please contact us immediately.
Notifiable data breaches
If we become aware of an eligible data breach affecting your personal information, we will comply with our obligations under the Notifiable Data Breaches scheme in Part IIIC of the Privacy Act, including by notifying you and the Office of the Australian Information Commissioner where required.
How long we retain your data
We retain personal information for as long as it is needed for the purposes for which it was collected, to provide the ConvertHook service, to comply with our legal obligations, to resolve disputes and to enforce our agreements. When personal information is no longer required, we will take reasonable steps to delete or de-identify it in accordance with APP 11.2.
Different retention periods apply to different categories of personal information:

Whitelister account information (including billing records and contractual correspondence) — retained for a minimum of seven (7) years from the end of the Whitelister relationship, in line with Australian record-keeping and tax obligations.

End user submissions and contact details (where the end user accessed the Tool via a Whitelister) — retained for a maximum of twenty-four (24) months from your last interaction with the Tool, or until the relevant Whitelister’s arrangement with ConvertHook ends, whichever is shorter, unless we are required to retain it for longer by law. The Whitelister will retain your information separately under its own privacy policy.

AI visibility data, usage logs, and de-identified analytics — may be retained for longer periods for product improvement and benchmarking purposes, in de-identified or aggregated form where reasonably practicable.
Your rights
You have the right to request access to the personal information we hold about you and to ask us to correct any information that is inaccurate, incomplete or out of date. To make a request, please contact us using the details at the end of this Policy. A reasonable administrative fee may be charged in complying with an access request, but no fee will be charged simply for making the request.
In accordance with the Privacy Act, we may refuse to comply with a request for access or correction in certain circumstances. If we do refuse, we will, where reasonable, provide you with written reasons for the refusal and information about how you can complain.
If your request relates to information held by a Whitelister (rather than by ConvertHook), you should direct your request to the Whitelister.
If you are located in the European Economic Area, the United Kingdom or another jurisdiction with similar laws, you may have additional rights, including the right to request erasure of your personal information, the right to object to or restrict certain processing, the right to data portability and the right to withdraw consent at any time. To exercise any of these rights, please contact us using the details below. We will respond to verifiable requests within the timeframes required by applicable law.
You may also unsubscribe from ConvertHook marketing communications at any time using the unsubscribe link provided in our emails or by contacting us directly.
Children’s privacy
ConvertHook is a business tool intended for use by adults and is not directed at children. We do not knowingly collect personal information from anyone under the age of 16. If you believe we have inadvertently collected information from a child, please contact us so we can take appropriate steps to delete it.
Changes to this Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, our service, technology, legal requirements or other factors. The “Last updated” date at the top of this Policy indicates when it was most recently revised. We encourage you to review this page regularly for the most current version. Continued use of ConvertHook after any changes are posted constitutes your acceptance of the updated Policy.

If your complaint relates to a Whitelister’s use of your information (rather than ConvertHook’s), please contact that Whitelister directly — where appropriate, we will refer Whitelister-related complaints back to the Whitelister.
